Terms and Conditions
1. Acceptance of Terms and Conditions
By completing the registration process and purchasing a ticket for the event, you hereby unconditionally agree to be bound by these Terms and Conditions.
2. Alterations to Program, Dates, and Venue
The Organizer reserves the right to make modifications, substitutions, or alterations to the program, schedule, speakers, dates, and/or venue at any time and for any reason without prior notice to the delegates.
3. Limitation of Liability & Force Majeure
The Organizer shall not be held liable or responsible for any financial loss, indirect damages, or personal expenses incurred by delegates as a result of any substitution, alteration, postponement, or cancellation of the event due to causes beyond its reasonable control. This includes, without limitation: acts of God, force majeure, natural disasters, national emergencies, sabotage, accidents, trade or industrial disputes, terrorism, strikes, government restrictions, hostilities, or widespread epidemic/pandemic breakouts.
4. Event Postponement and Refund Policy
If the event is postponed, rescheduled, or moved to a future date due to circumstances beyond the Organizer’s control, all paid registrations and tickets will automatically remain valid for the newly rescheduled dates or subsequent future editions of the event. Under these specific conditions, the standard refund policy is not applicable, and requests for refunds will not be entertained.
5. Event Cancellation and Liability Cap
The Organizer reserves the right and holds sole discretion to cancel the event at any time due to unavoidable, unforeseeable, or catastrophic circumstances. In the event of an outright cancellation, the Organizer’s sole liability to the client shall be limited strictly to the net registration fee paid at the time of booking. The Organizer accepts no further liability regarding non-refundable travel expenses, flight bookings, or hotel accommodations.
6. Notification of Cancellation and Delegate Responsibility
In the event of an unexpected cancellation or date change, the Organizer will make reasonable and suitable alternative arrangements to alert all registered attendees, which includes posting urgent updates directly on the official event website. It remains the sole responsibility of the delegates and ticket holders to monitor the official website prior to the event. Delegates are strongly advised to check the website regularly for the latest updates.
7. Personal Injury and Property Damage Disclaimer
Delegates and participants take part in the event entirely at their own risk. The Organizer accepts no liability whatsoever for any personal injuries, medical emergencies, illness, or for any loss, theft, or damage to personal property belonging to the delegates occurring either during, or as a direct result of, the event.
8. Visa Responsibility and Travel Disclaimers
It is the exclusive responsibility of the delegate to secure the appropriate travel visa and entry permits required to travel to the host country. The Organizer will provide an official Visa Invitation Letter only upon receipt of full registration payment. If a visa application is rejected, the Organizer’s standard refund and cancellation timelines shall apply.
9. Intellectual Property, Photography, and Media Rights
By participating in the event, delegates acknowledge that the venue may be photographed, filmed, or recorded. You hereby grant the Organizer the irrevocable right to use any such media materials for future promotional, marketing, or broadcasting purposes without any financial compensation. All intellectual property rights related to presentation abstracts and materials remain with the respective authors, but the Organizer retains the right to publish accepted submissions in the official digital and printed proceedings.
10. Code of Conduct and Right of Refusal
The Organizer reserves the right, at its sole discretion, to refuse admission to, or eject from the venue, any delegate whose behavior is deemed disruptive, uncollaborative, or contradictory to the professional environment of the event. Ejected individuals will not be eligible for a refund of registration fees.
11. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by, construed, and enforced in accordance with the applicable laws of the country where the organizing secretariat is legally registered, without regard to conflict of law principles. Any legal disputes arising under these terms shall be subject to the exclusive jurisdiction of the local courts of the Organizer’s headquarters.
